Nexus SaaS , Autonomous Customer Onboarding Agent
The Problem
Nexus SaaS, a B2B project management tool with 800+ customers, had a onboarding bottleneck that was killing retention. New customers signed up, received a welcome email, and then waited 3-5 days for a human onboarding specialist to schedule their first setup call. By the time the call happened, 40% of users had already churned or gone inactive.
The onboarding team was 2 people handling 50+ new customers per month. They were drowning in repetitive setup tasks: creating workspaces, importing data, configuring integrations, scheduling training sessions and answering the same 15 questions every time. The team had no capacity for the high-touch work that actually moved the needle.
Architecture
I built a custom AI agent that handles the first 72 hours of customer onboarding autonomously. When a customer signs up, the agent: creates their workspace, imports their data from the migration source, configures their integration stack, walks them through the first 3 critical actions via in-app messages, schedules their training call and sends a personalized setup summary.
The agent has persistent memory , it knows where each customer is in their onboarding journey, what they have completed, what they are stuck on and what their next action should be. If a customer drops off, the agent sends a contextual re-engagement message. If they hit an error, the agent diagnoses it and either fixes it or escalates to a human with full context.
Every interaction is logged. The onboarding team can see exactly what the agent did, what the customer's status is and where human intervention would add value. The agent handles 80% of the onboarding workload. Humans handle the 20% that requires judgment.
Before
